Southline Collection LLC ("Southline," "we," "us") operates southlinecollection.com. This policy explains what information we collect when you use the site, book a stay or contact us, how we use it, and the choices you have.

1. Information we collect

Information you give us:

  • When you book: your name, email address, phone number, billing address, the names and number of guests in your party, and any special requests.
  • When you contact us or submit a form: the details you enter, such as your name, email, phone, the home you are asking about and your message. Applications to join the collection may include your property address and details about the home.
  • Payment details: card information is entered directly with our payment provider. We receive confirmation of payment and the last four digits of the card, never the full card number.

Information collected automatically:

  • Device and usage data such as your IP address, browser type, the pages you visit, the dates you search and how you arrived at the site.
  • Cookies and similar technologies that keep your search dates and session working and that support the analytics tools described below.

2. How we use information

  • To take, confirm and manage your reservation, and to communicate with you about your stay
  • To answer inquiries and requests sent through our forms
  • To send booking confirmations, pre-arrival details and receipts
  • To improve the site and understand how visitors use it
  • To protect the site and our guests from fraud and abuse
  • To comply with legal obligations, including tax and lodging requirements

We send marketing email only if you ask for it, and every marketing message includes an unsubscribe link.

3. Who we share information with

We share information only as needed to run the site and your stay:

  • Our property management system, which holds reservations, guest records and communication for the homes we manage.
  • Our payment provider, which processes card payments on our behalf.
  • HomeRunner, the booking engine and website platform provided by Hudson Creative Studio, which hosts the site and processes reservation data on our behalf.
  • Service providers for email delivery, website security and content delivery, mapping, and analytics, each limited to the service they provide.
  • The homeowner of the property you book, limited to what they need to prepare for your stay.
  • Authorities when required by law, such as lodging tax filings or a valid legal request.

We do not sell personal information.

4. Analytics and cookies

The site uses Google Analytics and Google Tag Manager to understand traffic and improve the site. Our forms are protected by Google reCAPTCHA, which analyzes visitor behavior to prevent spam; its use is subject to the Google Privacy Policy and Terms of Service. Property maps load from a third-party map service that receives your IP address when the map displays. You can block or delete cookies in your browser settings; some features, such as saved search dates, may stop working.

5. Your choices and rights

  • Access, correct or delete the personal information we hold about you by contacting us.
  • Unsubscribe from marketing email using the link in any message.
  • Adjust cookie settings in your browser.

Residents of states with consumer privacy laws may have additional rights, including the right to know what information we hold and to request its deletion. Contact us and we will respond within the time the law requires. We do not treat anyone differently for exercising these rights.

6. Data retention

We keep reservation and guest records for as long as needed to manage your stay and to meet tax, accounting and legal requirements. Inquiry and form submissions are kept for as long as needed to respond and follow up.

7. Security

We protect your information with encrypted connections, access controls, and a payment provider that handles card data under the PCI DSS standard. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

8. Children

The site is not directed to children, and we do not knowingly collect personal information from anyone under 18. Guests under 18 stay under the responsibility of the adult who booked.

9. Changes to this policy

We may update this policy as the site and our services change. The effective date at the top shows when this version took effect. Material changes will be posted on this page.
